The post holder will manage and have responsibility for all aspects of the running of the Guild premises. This will include two main streams of work, Operations and Social Enterprises (which includes all commercial activity within the organisation). They will ensure the upkeep, maintenance and physical security of all Guild facilities and that safe, quality and value for money services and events are delivered through Social Enterprises. They will be expected to effectively manage costs and generate additional income while acting as a strong liaison point with the University of Liverpool, Hospitality Liverpool and wider City. The post holder will contribute to the Guilds strategic development as a member of the Senior Management Team and ensure that Guild commercial and building strategies are developed in a manner which support the Guilds own strategic plan. Act as the Brand Manager for the Starbucks Coffee Franchise and as the Designated Premises Supervisor/Licensee for the Guild. Specific Duties Strategic Contribute to the development and delivery of the Guild Strategic Plan play a pivotal role in supporting all areas of the organisation through high-quality operations and Social Enterprises. Be responsible for developing and implementing the overall strategy for Social Enterprises and the management of the Guild premises. Deliver strategic and financial objectives in Operations and Social Enterprise delivering income targets and controlling expenditure within budgets. Provide support to the Chief Executive in maintaining relationships with the University and any other key stakeholders. Generating new income both externally and through sales development. Contributing to the success of any other joint projects that the organisation may enter into. To prepare and present relevant reports and analyses for the Board of Trustees and other relevant committees Financial and Business Development Act as a point of liaison with franchise companies, external partners and stakeholders, particularly key members of the University staff team. Be responsible for identifying new business, external income generation and potential revenue including new sponsorship and promotional opportunities, and to drive sales across all Guild outlets. Take responsibility for and monitor sales targets, using monthly management accounts where required, reporting any variances and taking remedial action where appropriate. Job Description Director of Operations £53,650 10 Lead the department on annual budget forecasting and reforecasting. Display a proactive approach to financial planning and prediction. Assist in the preparation of, work within and monitor departmental budgets using monthly management accounts where required, reporting any variances and taking remedial action where appropriate. Authorise expenditure as required. Liaise with the finance department on the payment of invoices and wages. Departmental and Staff Management Be ultimately responsible for delivery of all Social Enterprises and Operations activities including: venue hire, Coffee Franchise, bars and retail, Reception Services, live music and entertainment, facilities management, security and general upkeep. Ensure that Social Enterprises and Operations are jointly oriented around the social needs of our students and the funding needs of the organisation. Ensure all agreed Work plans and strategies for the development of Social Enterprises and Operations are implemented and that staff, are aware of and able to articulate how their roles contribute to the implementation of these. Be responsible for the application, management and control of resources that are allocated to Social Enterprises and Operations. Provide leadership and motivation to the department, reviewing and appraising the work of staff and finding opportunities to enable them to shine while behaving as a good role model. Customer Service, Merchandising and Stock Management Develop a culture of good customer service, setting high quality service standards, which are monitored and maintained. Oversee the development of menus, sales mixes and prices for all outlets including the management, implementation and monitoring of cost effective product promotions. Ensure that stock management, ordering and takes are carried out in a timely and legally compliant way, that electronic records are kept where appropriate and that wastage is minimised. Maintenance & Security Ensure the building is fit for purpose, kept in good order and appropriately alarmed. Liaise with University and other service providers with regard to maintenance and upkeep of the buildings. Effectively implement, manage and develop measures to improve security within the Guild, e.g. CCTV, radios, etc. Work with The Green Guild Manager to ensure that all sustainability projects are supported by the department. Ensure that The Guild remains focused on improving its carbon footprint and general approach to sustainability issues in all areas. Health, Safety and Hygiene To lead on safety and safe working across the Guild. Have overall responsibility for health and safety compliance within the organisation, keeping up to date with changes in relevant legislation and practise. Ensure regular risk assessments are carried out within the Guild and that necessary training and administrative support is provided for staff on health and safety issues. Ensure that all health and safety, fire and building regulations and procedures are complied with. Liaise with all relevant external agencies such as, the Environmental Health Officer, University Safety Officer, etc as required. 11 Ensure that the Guild Health & Safety processes and procedures are reviewed according to the Safety Plan. Chair the Health and Safety Committee, produce the annual Health & Safety Review and represent the Guild on University Health and & Safety Committees General duties of all staff To contribute to the positive and professional image of the Guild and not act in such a manner as to bring the Guild into disrepute, and to portray a positive image, both internally and externally of the Guild by displaying high standards of service, integrity, punctuality, politeness and professionalism; To observe and uphold the requirements of the Articles of Governance and Bye-Laws, and act at all times in accordance with policies, including equality of opportunity; To undertake any other duties appropriate that may from time to time be reasonably requested; To assist in key events throughout the year, including Welcome Week and any other key events, including elections, if necessary
